• New Requirements for HCFA-1500

Most Logik Solutions’ clients submit claims electronically via their chosen clearing house, or, through direct upload of the HIPAA compliant 837 file. Some clients submit to claims to payers who only accept the paper HCFA-1500.

What follows will be of interest to those of you who continue to print your HCFA-1500 claim forms for any reason:

The new HCFA-1500, has been in development for a while and the payer community is now confirming the dates for implementation. On August 6, 2013 the regulatory requirements related to the new HCFA-1500, officially designated as Version_0212_CMS_1500, were released:

    • Providers should continue to submit paper HCFA-1500 claim forms using the “old version” designated as “HCFA-1500 (12/90)” through at least January 6, 2014.
    • Effective January 6, 2014, a “dual-use” period commences. From January 6, 2014 through March 31, 2014, payers will begin receiving the “new” HCFA-1500 but will continue to accept the “old.”
    • Effective April 1, 2014, payers will receive and process paper claims submitted ONLY on the new HCFA-1500 Claim Form.

This new HCFA-1500 roll out will continue to use ICD-9 coding until October 1, 2014, but is designed to accommodate ICD-10 codes. Logik Solutions will continue to support BOTH iterations of the form through March 31, 2014. For services after the “drop-dead” date of April 1, 2014 the “new” form will be the default paper HCFA-1500.

Like so many similar, industry wide initiatives, for example the 5010 project—if you learn of any payers at your facility that will not be ready for the new form, please contact us. We have a contingency plan to accommodate those exceptional payers.

If you have a large supply of HCFA’s take this opportunity to use them or plan your future orders to correspond to your usage.

Are you still billing paper claims to a payer that now accepts the electronic, HIPAA compliant 837-P? Contact the Logik Solutions staff to move those payers to electronic submitters and gain the savings, accuracy and improvement in cash flow that stem from electronic submission.
